This page explains what Callback Cowboy ([PLACEHOLDER: legal entity name and state, after formation], "we") collects through this website and by email, and what we do with it.

What we collect

  • What you send us. If you email us, we get your email address, your name if you include it, and whatever is in your message.
  • Basic technical data. Our hosting provider may log technical details such as IP address, browser type and the pages requested, to keep the site secure and running.

This site has no forms, no analytics and no advertising trackers, and it sets no cookies of its own.

How we use it

  • To answer you and make the callback you asked for.
  • If you become a client, to plan and set up the work you signed up for.
  • To keep records we're required to keep, or need to run the business.

AI assistants

Our AI assistants answer messages and send quotes, and they say so up front. Not every reply is reviewed by a person before it's sent. If you ask for a callback, our AI assistant makes the call, says it's an AI up front, and the call may be recorded. When you ask for a callback and type your name to sign the request, you agree that Callback Cowboy may call and text you at the number you send about our services, including marketing calls and texts made with automated systems and an AI-generated (artificial) voice. Calls may be recorded. Agreeing isn't required to buy anything. Reply STOP to any text, or say “stop calling” on any call, to opt out, and we stop the same day. Nothing goes live on a client's phone or site until the client approves the wording in writing.

Calls and texts

We never cold call or cold text. We only reply to people who contact us first. If you ask us to stop contacting you, we stop the same day, on every channel.

Your accounts and logins

Please don't email us passwords or logins. Client accounts, like the texting tool and lead sheet, stay in the client's name.

Michael, a person and not one of our AI assistants, does every setup himself. There are two ways to do it: you sign in yourself while Michael walks you through it (in person or on a screen share), or you invite Michael as a user through the tool's own "add a user" or team feature. We never ask for your password, and our AI assistants never get access to your accounts. If a tool needs a connection key (for example, to link your job software to Zapier), you enter it into your own account yourself. When setup is done, you remove Michael's access, and we'll show you how. If you're on the Care plan and something needs fixing inside an account, you invite Michael back for that fix and remove him again afterward.

Your customers' information

When we set up a Lead Catcher, the leads and messages from a client's customers live in the client's own tools and accounts. [PLACEHOLDER: client data-handling terms, to be set in the client service agreement]

Who we share it with

We don't sell your information. We share it only with service providers that help us run the business (for example, our web host and email provider), when you ask us to, or when the law requires it.

How long we keep it

  • Consent and contact records (what you agreed to, when and how, and any stop request), call recordings and transcripts: kept for at least 4 years. Stop requests are kept so we can keep honoring them.
  • Inquiries that don't become clients: kept for 2 years after our last contact, then deleted, except the consent and stop records above.
  • Client records (agreements, invoices, setup notes): kept while you're a client and then as long as we need them for tax and accounting records.
  • Your customers' leads and messages: these live in your own accounts, not ours. We don't keep copies. If a copy reaches us during setup or support (for example, a test lead or a screenshot), we delete it within 30 days after that work is done, and no later than 30 days after you stop being a client.

Your choices

You can ask what we have about you, ask us to fix it, or ask us to delete it, by emailing hello@callbackcowboy.com. We may need to keep some records where the law requires it.

Changes

If we change this policy, we'll update this page and the date at the top.
